Direct materials procurement and supply chain on Coupa

Coupa now runs direct spend end to end. It sources from bills of materials, works with suppliers on POs, forecasts, inventory, and quality, and models the supply network behind them. All of it runs on ERP, MRP, and PLM data, and DataMap builds the integrations that keep that data flowing.

01

Source from the bill of materials

Coupa builds sourcing events from BOM data, breaks supplier bids into material, labor, tooling, and overhead, and models awards against cost, capacity, lead time, and tariffs.

02

Work with suppliers in one portal

Supply Chain Collaboration gives suppliers a free portal for confirming POs and promise dates, committing to forecasts, sharing inventory, and recording quality inspections.

03

Plan the network behind the orders

Supply Chain Optimization, the former LLamasoft, models network design, transportation, multi-echelon inventory, demand, and tariff impact on a digital twin.

Category strategy and sourcing from the BOM

Coupa Direct Material Sourcing walks category teams through a guided strategy, using tools such as the Kraljic matrix and Porter's five forces, then creates sourcing events straight from bill-of-material data. AI turns supplier bids, PDFs included, into cost breakdowns of material, labor, tooling, and overhead. Award scenarios weigh cost, capacity, lead time, tariffs, risk, sustainability, and logistics, and the winning terms go into Coupa Contract Lifecycle Management.

Complex awards with Sourcing Optimization

For events a spreadsheet can't handle, Coupa Sourcing Optimization takes bids with bundles, alternate specs, and conditional discounts, and finds the best award within your constraints, such as per-supplier caps and regional splits, with tariffs and freight counted as costs. It handles multilevel bills of materials and pulls items, specifications, and product structures from your item master. Each award creates a contract per supplier.

PO and forecast collaboration

With PO Collaboration, suppliers confirm quantities, prices, and promise dates line by line and request changes in the portal, and AI matches supplier email replies to the right PO lines. Delivery schedules carry firm, trade-off, and forecast zones. Forecast Collaboration shows component forecasts, possible upside, and supplier commitments over time, so planners can see where supply falls short of demand before it becomes a shortage.

Inventory and quality collaboration

Inventory Collaboration shows stock at supplier sites, in vendor-managed hubs, and in transit, with min/max replenishment and supplier-managed inventory that can be virtual, consigned, or run through a 3PL. Consigned stock is invoiced on what you actually consume. Quality Collaboration ties inspections to POs, ship notices, and receipts, records results down to individual characteristics, and stores certificates of analysis and conformance.

Network, inventory, and tariff planning

Coupa Supply Chain Optimization, the former LLamasoft, builds a digital twin of your supply chain for network design, greenfield and cost-to-serve analysis, transportation planning, multi-echelon inventory optimization with stocking policies by SKU, demand modeling, and tariff impact planning. It makes the strategic decisions, and your ERP or planning system carries them out.

Supplier risk and contracts

Supplier Information & Risk Management onboards suppliers, runs third-party risk assessments, monitors supplier health, and can put high-risk suppliers on hold. Contract Lifecycle Management takes its terms from the awarded bids, passes them to purchasing, and checks invoices against the contracted prices.

The ERP data underneath it all

Every one of these runs on data from your ERP, MRP, and PLM: the item master and product structures, open POs and changes, schedule lines, ship notices, forecasts, inventory balances and receipts, and inspection requests. Coupa takes that data over cXML, XML, CSV, and APIs. DataMap builds those integrations on Boomi or Workato, syncs item master and catalog data from your ERP or PLM into Coupa, and maps supplier EDI documents to Coupa transactions.

Why teams choose it

Built for the way procurement and finance actually work

Item master and BOMs in sync

We sync item master and catalog data from your ERP or PLM into Coupa, so sourcing events, POs, and the supplier portal use the same part numbers as engineering and finance.

Supplier documents over EDI

Our EDI connector exchanges POs, acknowledgements, ship notices, and invoices with suppliers and maps them to Coupa transactions.

Requisitions and POs from upstream data

PO Generator and Requisition Generator create Coupa requisitions and POs automatically from upstream system data, direct-spend orders included.

BOMs into Sourcing Optimization

Itemator, in development, connects bill-of-material systems to Coupa Sourcing Optimization and creates items, POs, and purchasing info records from BOM data.
